How we handle your data
Who we are
The service is operated by ATO Partners (business registration details available on request). References to "we", "us", and "our" mean the operator of ATO Partners Private AI.
What we collect
When you apply for access, we collect the details you provide in the application form:
- Identity and contact details: full name, email address, mobile number, country/timezone.
- Agency context: team or branch, manager or referrer, agent identifier, and role.
- Experience and intent: years of practice, expected use, and your reason for requesting access.
- Technical data: the IP address from which the application is submitted, for security and abuse prevention.
Why we use it (purposes)
- To assess and process your application for access.
- To contact you about the outcome of your application and, if approved, to provision and support your assistant.
- To prevent fraud and abuse, and to keep the service secure.
- Where you have given optional consent, to send you service-related email about your application.
We do not sell your personal data, and we do not use it for third-party advertising.
Consent
We collect and use your data on the basis of the consent you give when you submit the application form. You may withdraw consent, or ask us to stop contacting you, at any time by writing to our Data Protection Officer (below). Withdrawing consent may mean we can no longer process your application or provide the service.
Who sees it
Access is limited to authorised ATO Partners reviewers (director and compliance roles) for the purpose of assessing applications and operating the service. We do not disclose your personal data to other applicants or members. Where we use service providers to operate the platform, they are bound to protect your data and use it only for the purposes above.
How long we keep it
We retain application data for as long as needed to assess your application and, if you become a member, to provide the service. If your application is unsuccessful, we retain the record only as long as necessary for legitimate business and legal purposes, after which it is deleted or anonymised.
How we protect it
We apply reasonable technical and organisational safeguards, including encrypted transport, access controls limited to authorised reviewers, isolated per-member workspaces, and audit logging of administrative actions.
Your rights
Under the PDPA you may request access to, or correction of, the personal data we hold about you. To make a request, or to ask a question about this notice, contact our Data Protection Officer.
